Voice Dictation with Windows & O365 Suite

Scope
Intended Audience: All users
This article will illustrate how to activate, integrate, and utilize voice dictation on windows devices via your Google account.
Requirements
- Google Account
- Windows 11 or Newer
Dictation to Text

Open a text field:
- Note Pad or Gmail via a web browser of your choice.

Launch dictation tool:
- Press the Windows key together with the ‘H’ key.
- A Dictation Tools Window will appear.
- You may speak clearly and naturally. The software will formulate punctuation.
- You stop dictation by:
- say, ‘Stop Listening.’
- Press the Windows key together with the ‘H’ key.
- Click the microphone icon in the Dictation Tools Window.
Note: When recording the microphone icon will appear as 3 horizontal dots
- To alter Automatic Punctuation:
- Click the Settings icon in the Dictation Tools Window.
- Make sure Automatic punctuation is on.
- This will ensure basic formatting via voice commands.
- Click the Settings icon in the Dictation Tools Window.
- Press the Windows key together with the ‘H’ key.
Voice Commands
Examples:

Command- Action performed
- ‘New Paragraph’-Insert new paragraph.
- ‘New Line’-Insert new line.
- ‘Tab’-Insert a tab.

‘Numeral #’-Insert a number rather than have the spelling.
- Example: insert 3 instead of the word three by saying ‘Numeral three.’
- ‘Go to word’-To move the cursor before a specific word.
- ‘Go after word’-To move the cursor after a specific word.
- ‘Select word range; Select word through word’- Select a word range in the current document.
- ‘Caps word’-Capitalize the first letter of a word.
- ‘All Caps word’-Capitalize all the letters of a word.
- ‘Delete that’-Delete the last spoken word or phrase.

Commands for punctuation marks and special characters
- ‘Comma’- (,)
- ‘Period; Dot; Decimal Point’- (.)
- ‘Open double quote; Open quote’- (")
- ‘Close double quote; Close quote; Close inverted commas’- (”)
- ‘At sign’- (@)
- ‘Double slash’- (//)

Voice Typing Launcher
- To replace the Dictation Tools Window, access the settings icon.
- At the top of the menu, select Voice typing launcher.
- Once on, the Dictation Tools Window will close and the cursor will have a yellow circle around it.
- When you click into a text field, a smaller Dictation Tools Window will appear.
- Select the Microphone Icon to resume dictation.
Command O365 Suite with Voice Access
- Access Word.

Under Home, click Dictate on the right.
- 2 Options will appear:
- Dictate: Use voice typing to author content.
- Transcribe: Coverts speech to text from multiple speakers. Each person's dialog will be captured according to the input (the person speaking.)
- Click the ? Icon, a help window will appear on the right.
- In Help you can Access:
- Editing Commands
- Formatting Commands
- Ect.
Command your PC with Voice Access
- Access the Windows Menu on your toolbar.
- Search Voice Typing. Click on the best match.

The Accessibility > Speech control center will populate.
- Turn Voice Access on.
- Close the Accessibility > Speech control center window.

A bar will appear at the top of the screen.

Click the Microphone Icon

Now you can command Apps such as Edge or Google Chrome to open.
- ‘Open Edge’- Opens Mircosoft Edge.
- ‘Maximize Screen’- Maximizes the window to fit the screen.
- ‘Close Edge’- Closes Mircosoft Edge.
- For a list of prompts, Click the ? Icon in the top right.
- Select View all commands.
