Datagate: Edit Exiting Products Quantity for Prorations

Scope Requirements Warning Adding the New Product Update the Current Product

Follow the steps below when you are adding services during the month and need to prorate the charge. 

 

Requirements

  • Access to Datagate
 

Warning

To prorate a product in Datagate, add a new product of the same name and adjust the current product. You can delete the product after the invoice is generated.

 

Adding the New Product

  1. Log in to Datagate
  2. Navigate to the customer's Products Tab
  3. Click the + button and choose Add Product
  4. Select the product template from the Template dropdown 
  5. Update the following:
    1. From: Date you added products
    2. To: End of the month 
  6. Hover over the Recurring Charges/Period and Click Edit to update the sell price and quantity of the product as applicable
  7. Click Update Charge
  8. Click the Floppy Disk to Save 

Update the Current Product

  1. Click the Current Product that you are previously billing for
  2. Update the From date to the 1st of the Next Month
  3. Hover over the Recurring Charges/Period and Click Edit to update the quantity of the product to include the added seats(s)
  4. Click Update Charge
  5. Click the Floppy Disk to Save 
  6. When generating invoices on the 1st make sure you Click Include last month's pro-rata charges 
  7. Click Generate.
  8. You're all done!
