Datagate: Summary of Autotask Integration with Datagate

This document highlights the importance of the integration between Datagate and Autotask

 

There are three main areas of integration between Datagate and Autotask:

  1. Customers. Autotask is the Master for Customers, so new Customers, and changes to Customers, are made in Autotask and Datagate is updated as a result of those changes.
  2. Invoices. Invoice charges on a Datagate invoice can be export to Autotask as Contract Charges. A Charge in Autotask is effectively 'this month's charge'. All charges on a Datagate invoice can be exported to Autotask, or just Usage charges, (USA) surcharges and (USA Telecom) taxes.
  3. Services. Monthly recurring charges can be entered/maintained in Datagate - i.e. Datagate is the master for these charges. Alternatively Monthly recurring charges can be entered/maintained in Autotask - i.e. Autotask is the master for these charges and they are imported/updated into Datagate on a regular basis - a few times a day.

Benefits

No Rekeying

  • Customers are maintained in a single place.
  • Monthly charges are maintained in a single place.
  • Invoices from Datagate are exported to Autotask using a wizard, not rekeying required

"Single Pane of Glass"

  • There will be an invoice in Autotask that matches the invoice in Datagate. This enables all Autotask users to see Datagate invoices (assuming they have the relevant Autotask privileges)

Less Training

  • Invoices are exported to the Accounting system from Autotask in the usual manner.

Telecom Formatted Invoice

  • The Customer will receive the Datagate invoice PDF, which is formatted for Telecom.

Use Cases

  • Most users of Autotask and Datagate use the Customer sync so there is a single place for users to maintain customer information.
  • If a Quoting system is in use, and that quoting system creates Contract Services, then Services can be maintained in Autotask and sync'd with/to Datagate.
  • If Monthly charges are maintained in Autotask, only any extra charges that Datagate puts on the invoice need to be exported. If Monthly charges are maintained in Datagate, all invoice charges are exported to Autotask.
